Comparison
Custom Build vs ServiceTitan
ServiceTitan is enterprise field-service software with enterprise pricing. Here is where that line actually falls, and who genuinely needs it instead of a purpose-built system.
Short Verdict
Below roughly 15-20 technicians, ServiceTitan's price and contract length rarely match the value a small crew gets from it. Above that scale, with multiple crews, in-house marketing spend to attribute, and staff to run the platform, it can be the right tool.
When We Are the Wrong Call
If you are already running 20-30+ technicians across multiple locations, need built-in call-tracking and marketing attribution at that scale, and have the staff to manage an enterprise rollout, ServiceTitan's breadth is a genuine advantage a small custom build will not match without years of additional development. That is a real business, not a rare edge case, and for it ServiceTitan is a reasonable buy.
Custom Build
A system built around your actual workflow, hosted on infrastructure you control.
Best For
A 3-15 person trade or service crew whose workflow has a handful of specific rules a generic product does not do out of the box, and who already has (or would otherwise pay for) an accounting system they are not willing to abandon.
Pricing
One build cost, then no per-seat licence fee. A comparable field-service build we delivered ran to roughly 10,000 lines of application code with around 70 automated tests, hosted at effectively zero marginal cost on infrastructure the client already owned.
Checked August 2026
Strengths
- No per-seat fee. Adding a fifth or sixth technician costs nothing beyond that person's own device.
- Built around the actual rules your business runs on, not the rules a generic product assumes every trade shares.
- You keep the accounting software you already use. No forced migration off QuickBooks Desktop or whatever ledger you run today.
- You own the code and the data outright. No vendor can raise your price, change your terms, or get acquired out from under you.
Trade-offs
- No vendor support line and no SLA. When something breaks, it is your build team's problem, not a 24/7 support desk's.
- No product roadmap being paid for by thousands of other customers. New features are things you commission, not things that show up in a changelog.
- Real upfront cost and real key-person risk if the system is not documented and handed off properly.
ServiceTitan
The enterprise field-service platform built for large, multi-crew operations.
Best For
A shop running 20-30+ technicians across multiple crews or locations that needs built-in call-tracking, marketing attribution, dispatch optimisation, and financial reporting at that scale, and has the budget and staff to run an enterprise onboarding.
Pricing
ServiceTitan does not publish pricing and requires a sales call for a quote (confirmed on servicetitan.com/pricing, checked 2026-08-28: all three tiers, Starter, Essentials, and The Works, show a 'Request Pricing' button with no dollar figures). Third-party reporting (not vendor-confirmed) puts costs around $400/user/month on entry tiers with add-on modules pushing individual accounts past $600-700/user/month, meaning a 10-person crew can clear $4,000+/month before any implementation fee. ServiceTitan reviewers and industry writeups commonly describe a substantial onboarding fee and a multi-year contract on top of the monthly cost, but we could not independently verify a specific dollar figure or contract length from a source we would stand behind, so none is given here.
Checked August 2026
Strengths
- Deep, built-in call tracking, marketing attribution, and pricebook tooling that a lean custom build will not replicate without significant extra spend.
- A large support and success organisation, dedicated onboarding, and a mature partner/integrator ecosystem.
- Genuinely built for scale: dispatch optimisation and reporting across many crews and locations.
Trade-offs
- Wildly disproportionate cost for a small crew. A 3-5 technician shop is paying enterprise pricing for enterprise features it will mostly never touch.
- Contract terms and an implementation fee on top of the monthly cost, commonly described by reviewers as substantial, though we could not independently verify a specific figure or term length before the first invoice goes out.
- You are renting the system. Stop paying and you lose access, regardless of how many years of job history live inside it.
Side by Side
Pricing in this table was checked in August 2026. Vendors change their plans, so confirm before you sign.
| Criterion | Custom Build | ServiceTitan |
|---|---|---|
| Monthly cost, 5-person crew - ServiceTitan does not publish pricing; see sources for the reporting behind this figure. | $0 marginal (build cost only, no per-seat fee) | Reported around $2,000+/month before add-ons (third-party estimate, not vendor-confirmed) |
| Implementation cost | The build itself is the implementation. No separate onboarding fee. | An additional implementation fee, separate from monthly cost, commonly described as substantial by reviewers but not independently verified here |
| Contract length | None. You own what was built. | Commonly reported 12-36 month minimum term |
| Who it fits | 3-15 person crews with specific workflow rules a generic product does not cover | 20-30+ technicians across multiple crews or locations, with staff to run it |
| Accounting integration | Built to work with the ledger you already run, including desktop software like QuickBooks Desktop | Cloud-first; typically assumes or pushes toward cloud accounting |
| Who owns the system if the relationship ends | You. The code and data are yours. | ServiceTitan. Cancel and you lose access to the platform, though exported data may remain. |

Why this comparison exists
ServiceTitan gets recommended to almost every trade business that searches for field-service software, because it is the biggest name in the category. It is also built, priced, and sold for a different kind of business than the one most people searching for it actually run.
ServiceTitan does not publish its pricing. That alone is worth noticing: software sold through a sales call, with a multi-year contract, is priced for accounts big enough to justify a sales team’s time. Third-party reporting, not confirmed by the vendor, puts entry-tier pricing around $400 per user per month, with add-on modules pushing some accounts well past that, plus an additional implementation fee and a multi-year contract that reviewers commonly describe as substantial, though we could not independently verify a specific fee amount or contract length from a source we would stand behind. On the monthly figures alone, a five-person shop clears $2,000 a month before it has scheduled a single job.
That is not a criticism of ServiceTitan. It is a genuinely capable platform for the business it is built for: multiple crews, multiple locations, an in-house marketing budget worth tracking call-by-call, and staff whose job includes running the software. If that describes your operation, the honest answer is that ServiceTitan is a reasonable buy, and a custom system would take years of ongoing development to match its breadth in call tracking, pricebook management, and multi-location reporting.
Most trade businesses searching for field-service software are not that operation. They are a 3-15 person crew with one dispatch office, a handful of specific rules a generic product does not model well, and an accounting system they are not about to switch off. For that business, ServiceTitan’s price and contract length buy a lot of capability that never gets used.
What a custom build looks like instead
We have delivered field-service systems built specifically around a client’s own workflow rather than a generic product’s assumptions. One example: an HVAC contractor in southern Ontario running 3-4 technicians out of one dispatch office needed automatic overtime calculation under two separate, non-stacking rules (a flat weekend multiplier and Ontario’s 44-hour weekly threshold), a customer-visible multiplier shown as readable text on the signed work order, four per-customer pricing fields a generic product’s rules engine would put behind a higher subscription tier, and consent-first GPS capture after an earlier tracking attempt had been “the deal breaker” for the technicians. None of that is exotic. All of it is the kind of specific business rule that off-the-shelf software either does not support or charges extra for.
That system integrates directly with QuickBooks Desktop, the client’s actual accounting software, over Intuit’s own Web Connector using qbXML. The integration refuses to create an invoice if a job already has a QuickBooks transaction ID attached, and cent-matches the computed total against what QuickBooks reports back before storing anything. ServiceTitan and most competing platforms assume, or actively push toward, cloud accounting. A client running desktop accounting either migrates or works around the mismatch. A custom build can simply integrate with what they already run.
The system was built and hosted to avoid ongoing per-seat costs, sharing an already-owned cloud server under an enforced resource cap rather than standing up new billed infrastructure. Marginal hosting cost for an additional technician is effectively zero, and there is no per-seat licence fee at all. That is a structurally different cost curve from a platform charging per user per month indefinitely.
What you give up
A custom build has no vendor support line. When something breaks, it is the build team’s problem, not a 24/7 enterprise support desk’s, and there is no team of engineers maintaining the platform besides the people who built it. There is no product roadmap being funded by thousands of other customers’ subscriptions; new capability is something you commission, on your own timeline and your own budget, rather than something that shows up automatically in a release note.
There is also a real upfront cost. Zero per-seat licensing does not mean zero cost, it means the cost is structured as a build (and ongoing maintenance) rather than a recurring subscription. Whether that trade pays off depends on how long you keep using the system and how much the subscription alternative would otherwise have cost you, month after month, for as long as you run the business.
Where the line actually falls
The honest dividing line is not features, it is scale and structure. A shop with one dispatch office, a handful of crews, and a short list of business rules a generic product does not handle well is the shop a custom build fits. A business with multiple locations, enough marketing spend to need call-level attribution, and staff whose role includes administering the software is the business ServiceTitan fits. Most trade businesses searching for “ServiceTitan alternative” are the first kind, which is exactly why the price gap feels so wrong to them in the first place.
