Frequently asked questions
These come up on nearly every discovery call. We've grouped them by the decision you're sitting on when you ask.
Starting out, and what it costs
Book the Free Assessment. It's a 30-minute call where you walk us through the places the work jams up. If there's real money in fixing it, you get a roadmap and a quote. Some of these calls end with us saying automation won't help your problem, and that's a fine outcome too.
Our [pricing page](/pricing/) shows the fixed CAD price for Second Brain and the band for Missing Piece. Your written scope sets the final Missing Piece quote. Second Brain credit carries across when that build starts within the stated window. Hosting stays at cost up to the monthly cap, and later changes carry a per-feature price. There is no retainer.
Second Brain takes about a week. We ingest every document and set up your private assistant. A Missing Piece build takes 3 to 6 weeks because it follows one workflow through the tools you already use.
How we go about the work
Often it doesn't. A plain script or a better CRM setup can solve the job. We reach for AI when it can pull a useful answer out of a pile of your own documents, a contract clause, a spec sheet, a scanned invoice. A phone call that needs judgment on the fly is a different problem, and we're careful about promising AI where the failure mode is a customer left on hold.
No. We're a consultancy, and we do the build work ourselves. One-size-fits-all software rarely survives contact with a busy shop, so we start by watching how your work moves. From there we either set up the tools you already pay for, your CRM most often, or build custom automation bridges that you own outright.
No. We automate the busywork, the retyping and the chasing your staff already hate doing. They get those hours back for selling, looking after customers and field work. Most owners use that to grow the revenue without adding another desk in the office.
It comes up on almost every call. We keep the system working in the background, so nobody has to learn a fiddly new app between service calls. Voice-activated notes and one-word SMS updates hold up on a job site where a guy is wearing gloves in February and holding the phone in one hand.
Hooking up to what you already run
Keep it. We'd rather build around the tool your crew already knows how to use. Most of our work is bridges: your CRM talking to your phone system, your website and your accounting software, so nobody has to retype the same customer three times before lunch.
Yes. Most of what we build finishes with a bridge into QuickBooks, Xero or Sage. When a job closes out in the field, the invoice gets drafted and the job costing lands in your accounting software in the shape your bookkeeper asked for. Your bookkeeper tells us the format. We match it.
No. That's outside what we scope: a local installer handles cable through a wall and mounts the equipment. We build the software that talks to your phone or kitchen hardware once it's in place.
Yes, for portals like SAP Ariba, Biddingo or Merx. Nobody gets to reach inside those portals and drive them from the outside, so we build the system on your side instead. It keeps your certifications and past-performance data ready to drop in, and a form that used to eat a day takes minutes.
The bridges we build belong to you, so your data stays where it already lives, inside your CRM or your own protected cloud storage. We don't sell it, and it never goes into a public AI model for training.
Who owns it, and who fixes it later
You own the finished workflow and its data when we hand it over. The handoff doc explains how it works and where it runs. Hosting is billed at cost when we provide it. Later work carries the per-feature price shown on our [pricing page](/pricing/). There is no retainer.
You get a handoff doc for the finished workflow. When we host it, we pass through the cost up to the monthly cap shown on our [pricing page](/pricing/). You can ask us for later changes at the fixed per-feature price. There is no retainer.
Yes. Every build ships with a documentation package and training sessions for your staff. We stay on it until your crew can run the new workflow without phoning anyone, and until they know which parts of the system are worth their time.
Yours isn't up there?
