Field Ops terms

Effective October 30, 2026

Plain terms for a monthly subscription. If anything here is unclear, email info@arborai.com and we'll explain it.

1. What you're signing up for

These terms cover your shop's Field Ops subscription with ArborAI, a Toronto company. Field Ops is job software for trade shops: scheduling, dispatch, work orders, tech phone pages, signed documents and QuickBooks Desktop invoicing.

Your shop gets its own copy of Field Ops, hosted by us, with as many office and tech logins as you need.

2. Onboarding

Onboarding is free. Over about four weeks we map your forms, rates and QuickBooks items, load your customers, sites and equipment, and train your office and techs.

If you decide not to go live, you owe nothing.

3. Price and billing

Field Ops costs $399 CAD a month for the whole shop, plus HST. The first month starts the day your techs go live.

We bill monthly in advance, by email. Pay by credit card, Interac e-Transfer or electronic funds transfer within 15 days of the invoice.

We give you 60 days' notice by email before any price change. If you don't like the new price, cancel before it starts.

4. Cancelling

There's no contract term and no cancellation fee. Email us to cancel. Your subscription runs to the end of the month you've paid for, and we don't refund part months.

5. Your data

Everything your shop puts into Field Ops belongs to your shop. We use it only to run, support and back up your Field Ops, and we never sell it.

Ask for a full copy any time and you'll have it within five business days: spreadsheet files of your customers, sites, equipment and jobs, plus folders of photos, signatures and work order PDFs. When you cancel, we send that copy, keep your Field Ops for 30 days, then delete it. Backup copies age out within 12 months.

The Field Ops data and security page lists where your data lives and which outside services touch it. We'll email you 30 days before we add a new one.

6. Your techs and your customers

You decide who gets a login, and you're responsible for what your staff enter. Field Ops asks each tech's consent before it records location.

If Ontario's Employment Standards Act requires you to keep an electronic monitoring policy, keeping it is your job. We'll give you wording that describes what Field Ops records.

7. Support and changes

Support by phone, text and email is included, Monday to Friday, 7 a.m. to 6 p.m. Eastern. If Field Ops is down, call or text any time.

Small changes to your forms, rates and rules are part of support. A new feature gets a written quote first, at $200 CAD per feature, and we start only after you approve it.

8. If Field Ops goes down

We watch Field Ops and fix outages first. If it's unavailable for more than eight working hours in a calendar month, counted Monday to Friday between 7 a.m. and 6 p.m. Eastern, you don't pay for that month.

Planned updates happen outside working hours.

9. Limits

Field Ops is a tool. Your office still checks prices before invoices go out, and your bookkeeper still owns your books.

Neither of us is liable for indirect losses, such as lost profits. Our total liability under these terms is capped at the fees you paid us in the 12 months before the claim.

10. Changes to these terms

We'll email you 30 days before any change to these terms takes effect. Ontario law and the federal laws of Canada that apply in Ontario govern these terms, and the courts in Toronto handle any dispute.

Read the data and security page for how we handle your data, and the website terms for the rules of this site.
